One of the world's leading fragrance and flavour companies recently conducted a benchmark audit of its maintenance facilities, highlighting some fundamental deficiencies. This resulted in the development of a new strategy and improvement programme, for which BIS Industrial Services was asked to manage the implementation.
The project was managed in three discrete phases: the generation of an asset database, the development and delivery of comprehensive personnel training, and the creation and population of a new stores facility with formal inventory controls.
ASSET DATABASE GENERATION
Information on 1500 parent/child assets was collated in a format compatible with COSWYN, the customer's selected Computerised Maintenance Management System. We populated COSWYN with technical data and asset maintenance history, safety and quality critical components, risk assessments, drawings, P&ID's, manuals and inspection records.
Direct dialogue and consultation with operators and maintenance personnel was key to gathering information and identifying preferences for asset references, ICON selection, drop-down menus and breakdown codes.
Ownership and familiarisation with the resultant system design was therefore naturally achieved, easing the roll out process.
BIS-IS is committed to customer success and will continue to provide consultative assistance in the future growth and development of the system, as users familiarise themselves with the process and identify improvement opportunities.
THE TRAINING PACKAGE
A comprehensive training package was delevered to 20 maintenance and 6 administrative personnel over a 6 week period. The interactive presentation was designed to introduce the capability of COSWYN and demonstrate the requirements of end users. BIS-IS remained as system administrator until customer confidence was sufficient for a formal handover.
STORES MANAGEMENT
With no formal stock control system, store-stock spares management was ineffective. 2500 items were catalogued with basic item descriptions, supplier parent asset links and stock levels. The new stores facility was secured and an interim honest-book stock control system introduced ahead of full integration with COSWYN. Single person authority was assigned for all stores reworking.
KEY DELIVERABLES
BIS-IS was responsible for the development of a bespoke system design, with the full involvement of the relevant end users. Delivery was required within both reduced cost parameters and within shorter lead times for all stages, including deveolpment, implementation and roll out.
